Holaspirit merges Actions and Projects to improve task management
Are you struggling to manage multiple projects at the same time? Do your team members have difficulties understanding how their tasks relate to the company’s goals? Well, good news for you: our new Projects feature should make all your problems go away! The Projects module comes from the merge of our Actions and Projects apps. By combining them, we can now offer you a brand new project and task management experience.
But what does that entail exactly? Check out the video of our Brand Content Manager Sofia to know all about Projects 👇.
Why did we merge Actions and Projects?
First of all, you may be wondering why we decided to merge the Actions and Projects features. The aim is simple: we want to give teams a 360° view of all the projects they’re working on. Instead of scattering information on two different apps, team members are now able to manage their tasks and projects in one place.
In addition to improving navigation experience, we’ve also removed board limitations in circlesand enhanced task management features on the platform. This means that Projects isn’t just a merge of two pre-existing features. It’s a whole new feature that’s going to revolutionize the way you and your team work together ✨.
What are the benefits of the new Projects feature?
Improved task management
As its name suggests, the Task feature is designed to improve task management across your team and organization. Here’s how we make that possible.
When a project gets complicated, one level of subtask is sometimes not enough to properly distribute the workload between team members. That’s why Projects allows you to create as many subtasks as you need. Sky’s the limit (literally), so don’t be shy!
In order to create a decluttered view of your tasks, we allow you to categorize your tasks and subtasks by project board, roles or OKRs, and to fold and unfold it as you wish. This helps you get a quick understanding of what needs to be prioritized.
For each task, you can add a deadline and a formatted description to clarify why that task is needed, what it is about and when it needs to be completed. You can then assign those tasks to relevant members directly, or by going through circles and roles.
Personalized labelscan also help you get organized. You can use it to arrange your tasks by priority level, by topic, by company, or even by department.
Tracking a task's progress isn’t just about ticking boxes. It’s also about achieving specific goals. To track those objectives, you can personalize your tasks’ progress bar how you see fit. Use percentages, currencies, emojis or any symbol you want. It’s time to get creative!
Not all tasks are necessarily related to a project. That’s why we’ve differentiated the tasks that contribute to a project board and those that don’t. This is particularly useful if you want to create task templates that you can easily duplicate, without having to connect it to a project board.
Project managers know it too well: priorities and task assignments are not set in stone. So it’s important to be flexible about it. If that happens, you can just move your tasks from one board to another with the click of a button.
Optimized project management
To manage tasks effectively, you also need to optimize project management. That’s why Tasks has a lot to offer in this department!
Circles often have to manage several projects at the same time. To organize those projects, Projects allows you to create not one, but multiple boards at the same time for your circle. You can then pin your favorite boards to find them easily, and even personalize their colors 😉. It’s time to get busy!
All members assigned to a board can get an overview of who’s working on which tasks and check if there are any updates using the activity log. This helps highlight all project contributors, and not just project managers.
Searching for a task in your project board has never been easier! Using the search toolbar, filter tasks by keyword, by role or memberassigned, by label or by status.
Need to get a clearer view of what you need to do? Switch between Kanban, List and Hierarchy views. The Kanban view uses columns and cards to give you a visual overview of your project’s tasks, whereas the Hierarchy and List views use mostly text, but allows you to see more tasks at a time, as well as the hierarchy between them.
Another view allows you to see all the projects boards of your organizations, including those you’re not assigned to. It can be activated or deactivated by your Holaspirit administrator, if deemed necessary.
Just like you administrate your Holaspirit platform, you can appoint administrators to manage your project boards. Those administrators can adjust several parameters, such as making the board public or private.
To conclude
Now that you know everything about Projects, it’s time to get started! If you don’t have a Holaspirit platform already, no worries. You can create your own by starting a free trial, or schedule a demo with our lovely sales team.
